Data Entry Operator resume example
By Bhagirath Sheela, founder of JobCatch ·
Data entry employers hire on speed, accuracy and reliability. A good resume gives your typing speed with accuracy, the software you use, the kind of records you have entered, and the volume — and makes clear you can work with confidential data.
What recruiters look for
- Typing speed and accuracy, in words per minute
- Software: Excel, Google Sheets, Tally, ERP or CRM systems

Data entry operator with four years entering invoices and orders in Tally and Excel. Enter 300 records a day with an error rate below 0.5%.
Skills, spelled the way postings spell them
An applicant tracking system matches the words in the job posting, and it does not reliably treat two spellings as one skill. The left column is the form most postings use; the right, other spellings people type. Use the posting's own spelling for each application, and list only what you can discuss in an interview.

Bullet examples
Each bullet says what you did and what changed because of it. Change the numbers to your own; a recruiter will ask about every one.
- Enter about 300 purchase invoices and orders a day in Tally and Excel.
- Kept the error rate below 0.5% in monthly audits for two years.
- Built an Excel check that flags duplicate invoice numbers before entry.
- Scanned and indexed 12,000 old paper records into the company's document system.
- Handle confidential salary and customer data under the company's data policy.
For freshers: projects and internships
- Typing speed of 40 words a minute with 98% accuracy (online test).
- Certificate in computer applications covering MS Office and Tally.
- Entered survey data for a college research project: 1,500 forms in two weeks.
Mistakes to avoid
- No typing speed. It is the first thing a data entry employer checks.
- Writing "computer knowledge". Name the software you actually use.
- Applying to "home-based data entry" jobs that ask for a fee. Those are scams; see the registration fee warning sign.
What an ATS reads from this sample
An applicant tracking system turns the PDF into plain text before anyone reads it. This is that text for the sample above, extracted by the same code as "What the ATS reads" in the app. Everything is in reading order, under the right heading, with the name and email intact — which is what a single-column template is for.
